Incoming exchange students application process

When Hanken has received a nomination from a partner university we will send a confirmation of receipt of the nomination by e-mail to to the partner university and the student. An enclosed letter to the student contains the link to the online application and reminds the student about the application documents to be submitted and other preparation for the exchange.

Hanken will issue the Accepance Letter when we have checked that everything is in order in the completed application. Acceptance letters are sent in May to students arriving for the Autumn semester and in November to students arriving for the Spring semester. The Acceptance Letter is needed by students from non EU/EEA-member countries in order to apply for a residence permit. The Acceptance letters are sent by e-mail as a PDF attachment only, as no hard cover originals are requested by the Finnish Immigration authorities.

The application is done online. Students register their data and upload and complete forms online only. No paper documents are needed to be sent by air mail.

Application

1. Fill in the online registration form
2. Register a profile and add a photo (max 500x500 pixels)
3. Upload the following documents to your profile:

  • CV (Resume)
  • Brief Motivation letter
  • Transcript(s) of Records with the university's stamp. Upload documents of all courses you have completed at bachelor's and/or master's level at the time of application
  • Photo (passport size, max 500x500 pixels)
  •  A certificate of English language proficiency must be submitted online. (Note that the online system requires a document to be uploaded. Even though you are exempted from submitting a certificate of English proficiency as referred to below, you need to upload a paper stating the reason for the exemption).

Evidence of English proficiency

Incoming exchange students' English proficiency must be at level B2-C1 in the Common European Framework of Reference for Languages (CEFR). We request evidence of English proficiency from the partner university in their nomination information. If proof of English proficiency is not yet available by the nomination deadline, the student must submit an acceptable certificate by their application deadline.

 International language tests and minimum scores accepted:

  • TOEFL minimum 87 iBT (internet based test), minimum 567 PBT (paper based test)
  • IELTS band 6.5 or above
  • CAE (Certificate in Advanced English, University of Cambridge ESOL Examinations)
  • FCE (First Certificate in English, University of Cambridge ESOL Examinations)

Students who are exempted from showing proof of English proficiency :

  • Students from English speaking countries and Nordic countries
  • Students who are undertaking a bachelor's or master's degree taught entirely in English

In case you have doubts about the English proficiency requirement and how this applies to you, please contact your home university International Office to check what has been agreed upon with Hanken.
 

Deadlines for receipt of the Application documents at Hanken:

Students nominated by 15 April for the autumn semester or full academic year must complete the online application by

  • 1 May 2017 (the online application system closes by midnight)

Also students nominated by 15 April 2017 for the spring semester 2018 are recommended to register in the application system by 1 May. Having registered online you may continue to upload documents until the deadline for the spring semester 15 October 2017. Without registration you cannot access the application system until September when it will be open again.

Students nominated by 8 October (after the 15 April deadline) for the Spring semester 2018 must complete the online application by

  • 15 October 2017 (the online application system closes by midnight)

Application for student accommodation at HOAS/VOAS

Helsinki Campus
Students selected to the Helsinki Campus shall apply online directly from the Foundation for Student Housing in the Helsinki Region, HOAS, to request their accommodation on the page for "Exchange students application". All you need to know about applying for and living in a student residence in the Helsinki region is available on the HOAS webpage www.hoas.fi

The application for Exchange students opens on 1 April for students arriving in the Autumn semester and on 1 October  for students arriving in the Spring semester.

Note that all student accommodation related questions should be addressed at HOAS, Hanken's International Office does not deal with these questions.

Vaasa Campus
Students selected to the Vaasa Campus shall apply online directly from the Foundation for Student Housing, VOAS, to request their accommodation. All the information needed is available on the VOAS webpage www.voas.fi . Please note there is no particular opening date for exchange students' applications in Vaasa on the VOAS web. Please see further in formation under "Accommodation" on the Incoming Exchange pages.

Note that all student accommodation related questions should be addressed at VOAS, Hanken's International Office does not deal with these questions.
