How Do I Apply?
What should be included in the application?
To apply for exchange studies you have to fill in an online application form. The results for exchange studies during the autumn semester will be made available the by early April and for exchange studies during the spring semester by late August. Please, reserve enough time for submitting the application as it consists of several stages which may take considerable time to complete. In addition to the application form the following enclosures must be attached:
- CV
- A letter of motivation
- A preliminary course selection
- A passport photo
- Language test certificate if applicable
- Certificate of possible student union activities
After you have completed the online application, you must print out the application form and hand it in before the application deadline
in Helsinki:
- to the Centre for Research and International Affairs or
- in the green mail box under the exchange studies notice board (before the entrance to the Learning Lab) or
- to the Service Point
in Vaasa to:
- the office of administration (Kristina Wallin)
Your application including all appendices should be complete and submitted within the deadline. Supplements to the appendices after the deadline can only be considered if:
- the changes have been done in the online application system ("Mobility Online") on the website at https://www.service4mobility.com/europe/LoginServlet and
- you inform the International Co-ordinator at the Center for Research and International Affairs about the changes in writing and
- the changes are made within a week after the deadline for the application.
Instructions for filling in the online application
Below you will find instructions for filling in the online application. The instructions are structured according to the structure of the application form. Before you begin filling in the online application, please read the instructions, prepare your appendices and select 15 partner universities you wish to study at.
A. Information concerning the application
- Most information under this heading has already been filled in for this application. You only need to select "Exchange programme" according to your first choice of partner university. If you wish to study in a Nordic country choose "Nordplus student exchange", in Europe "Erasmus student exchange" and outside Europe "Bilateral Agreement outside Erasmus".

C. Information concerning the current studies at Hanken
- Here you are asked to select, for example, your major subject and campus at Hanken
- The "Exam" field is only relevant for students enrolled in a Bachelor programme. Under "Exam" you can indicate if you have taken an exam before the deadline of the application in mandatory basic courses in Economic Sciences given during the first year of the Bachelor programme, but not yet received the results. Please observe that you must inform the International Co-ordinator concerning the results when you have received them.
- Under the heading "Number of higher education years at HANKEN prior to the exchange period" you should write how many full academic years you have completed up until the start of the planned exchange semester.
- You must also fill in the academic degree you are aiming for at Hanken: Bachelor of Science in Economics (BA/B.Sc. (Econ.)) or Master of Science in Economics (MA/M.Sc. (Econ.)
- GPA refers to your average mark in all completed courses as indicated on your Hanken official transcript of record. Please indicate your GPA if you know what it is. If not, you can leave it empty as the International Co-ordinator has access to your average mark.
D. Information concerning the stay abroad
- In the application you must select 15 partner universities in priority order. Plan carefully which partner universities you select because if you are not selected to your first choice, we move on to the second choice of university, and so on. Hence applying to one university only does not guarantee that you will be selected to that specific university. By choosing 15 alternatives, you can influence where you will spend your exchange semester. After you have been informed of where you have received an exchange study place it cannot be changed.
- When you fill in the name of your preferred partner universities you should write down the complete names of the universities. Therefore we recommend that you "copy and paste" the names from the list of "Partner Universities".
- We advise you to be aware of the state of world affairs and consider which countries you wish to go on an exchange to. Hanken is only in limited cases able to arrange new exchange positions for students who withdraw from allocated exchange positions due to, for example, a natural disaster.
- You have to fill in the level of studies you wish to enroll. Students participating in Master's degree programmes at Hanken should apply for an exchange term at Master's degree level. Students who have not completed a Bachelor's degree can apply for an exchange term at Master's degree level only if she/he can complete the Bachelor's degree by the end of the semester prior to the exchange and if she/he can meet the deadline for when the partner universities require the application documents (learning agreements etc.). The deadline for application documents vary between the partner universities.
- Some partner universities only admit exchange students at the undergraduate level (Bachelor's degree level) while other partner universities accept students at the postgraduate/graduate level (Master's degree level). Information concerning the level of studies is available in the interactive table Info and criteria.
- "Stay from" and "Stay to" refers to semester dates at the partner universities. These dates should be filled in for your first five preferred partner universities. The semester dates are available on the partner universities' web pages, often under the heading "Academic Calendar" and in the attached semester dates table. The attached table only provides a rough estimate for the semesters at each partner university, but for the exact dates we advice you to visit the websites of the partner universities. Note that the partner universities' semesters may differ from Hanken's. Often other universities' autumn semesters start later than Hanken's, and end in January-March. Exam periods are often arranged in January-March and July-August, and hence you should be prepared to go back for the exam periods. These are issues that you should be taken into account when you plan your exchange studies.
E. Language competence
- Here you are asked to fill in information regarding your first language, taken language tests and the language of instruction at Hanken and at the partner universities

SEND APPLICATION- After having filled in stages A-G submit your application by pressing "Send Application".
REGISTRATION - When you have submitted your application, you will receive an e-mail asking you to register via an included link. When you fill in your IBAN number, the number should be typed in groups of four and two as in this example: FI12 1234 1234 1234 12.
SEND APPENDICES - After having completed the registration you will again receive an e-mail with instructions for how to attach your appendices to your application. Below you will find instructions for how to write the appendices and how to attach them to your application.
Instructions for the appendices:
- Please provide documented proof of all qualification you wish to refer to and scan documents that you do not have in electronic format.
- CV - Write a CV in the language that you are planning to study in during your exchange studies and attach photo of you to it. Templates for how to write CVs in different languages can we found on www.iagora.com/iwork/resumes.
- Letter of motivation - Attach a letter of motivation (maximum one page) that supplements your CV. Direct the letter to Dear Sir/Madam and sign the letter. Introduce yourself and your academic ambitions in the language that you intend to study and explain the rationale behind your application and choice of host university. Your Letter of motivation should be addressed to your first preferred choice of partner university only (although we cannot guarantee that you will be granted a place of study there). The Letter of motivation does not need to be proof read by a teacher.
- Learning agreement - Make a preliminary course selection (learning agreement) for full-time studies at your first preferred partner university by filling in a learning agreement form [doc] 65k. The sending institution (Hanken) and receiving institution will sign the form after you have been accepted to the exchange programme. Information concerning the amount of courses or credits required for full-time studies at the different universities is available on the partner universities' websites and in the table Info and criteria. Please, make your choices on the basis of the latest available information. Although you only make a course plan for you first preferred partner university you should also familiarize yourself with the courses available at the other preferred partner universities.
- Passport photo - The picture should not be larger than 500x500 pixels.
- Certificate of language test - Some partner universities require an internationally recognized language test, e.g. Toelf or Ielts, please see this table. If you apply for an exchange semester at one of these partner universities you must do a language test before the deadline of the application. Please ask the organizer of the exam to send the results directly to Hanken or attach the test result to the application e.g. as a scanned document.
- Certificate of student union activities - If you have been involved in the student union you can gain a few credits from certain positions and activities. If you have been active in the student union you should attach a certificate stating this.
- Transcript of records - the Centre for Research and International Affairs issues transcripts of records. Therefore, students should not ask the Service Point for a transcript.
Instructions for attaching the appendices:
- Appendix 1: Follow the link that has been sent to you by e-mail. The link takes to you to a website. Press "Upload CV". Attach the first appendix ("File"), press "Create" and finally "Back to overview".
- Additional appendices: Attach all additional appendices as appendix 1, but press "Upload Letter of Motivation", "Upload Learning Agreement", "Upload passport photo for the application" and if applicable "Upload certificate of English proficiency" and "Upload Student Association participation certificate".
Print application
- Finally, print your application by pressing "Print application form" and hand it in (not the appendices). For more information about where to hand in the application please see the first part of this page.
Online application form
To apply for exchange studies you have to fill in an online application. Please do all the steps to complete your application.
Save the passwords to Mobility Online as you will need them throughout your exchange semester.
