How Do I Report When I Arrive Back Home?

Information for Returning Students

Dear exchange student,

Welcome home! We hope that you have enjoyed your time at your host university. Now that you are back, the credits gained from your studies abroad should be transferred to Hanken. Before the credit transfer can be done, please hand in the following documents:

1. LETTER OF CONFIRMATION: Please ask the international co-ordinator at your host university to fill in and sign the Letter_of_confirmation.pdf [pdf] 6kform at the end of your exchange period. Upload the form to Mobility Online ( https://www.service4mobility.com/europe/LoginServlet) immediately after your exchange semester.

2. COURSE DESCRIPTIONS - Please, scan all course descriptions of the courses you have completed. You should show how many lectures each course has comprised, course literature, how the course was structured (i.e. lectures, your own work, exams etc). Send the course descriptions to outgoing.mobility (at) hanken.fi.

3. LEARNING AGREEMENT - If you have not yet handed in the final version of your learning agreement, please scan it and send it to outgoing.mobility (at) hanken.fi a.s.a.p. The courses shown on your learning agreement on Mobility Online should correspond to the courses you actually have completed.

4. EXCHANGE REPORT - You will be asked to write a report on your exchange studies. The report consists of a form that you should fill in and send to outgoing.mobility (at) hanken.fi. The form will soon be published here.

DEADLINES - The letter of confirmation, course descriptions and learning agreement should be handed in no later than one week after the end of your exchange semester. The exchange report should be handed in by March 15 if your exchange was carried out during an autumn semester and by June 10 if the exchange was during a spring semester (however, if your semester ends between June and August your deadline is August 10).

Credit transfer

When the documents listed above have been handed in the credits gained during your exchange will be transferred as follows:

1. Your host university sends a certificate of completed courses to you or to Hanken.

  • If your host university sends the certificate directly to you, you should a.s.a.p. visit the international co-ordinator in Helsinki or Kristina Wallin in Vaasa to show the original certificate.
  • If the certificate is sent directly to the Centre for Research and International Affairs, we will notify you as soon as your certificate has arrived and you can pick it up at the Centre. If you study in Vaasa we will send the certificate to you by mail.

2. The Centre for Research and International Affairs checks that you have completed a full workload according to the terms and conditions of the grant and that you have handed in your exchange report.

3. The Office of Study Affairs transfers your exchange studies to Hanken. Since Hanken recommends that the exchange studies are transferred towards the study module "Studies Abroad" (consisting of min. 25 ECTS of which 15 ECTS must be in economic sciences and max. 8 ECTS in your major subject) the credits gained during the exchange will be automatically registered as the module "Studies Abroad" if you meet the requirements. However, changes can be made later on if you don't want to have your credits transferred towards this study module. If so, please visit the Office of Study Affairs no later than May 31.

Please, note that the credit transfer cannot be done before you have handed in the exchange report and course descriptions. It is important that you hand in all required documents in time so that the credit transfer can be done and to avoid that the Financial Aid Committee has to report neglected studies to KELA (FPA). In other words, don't "save" your credits for a later date. Please, also note that it may take a few weeks before your credits are registered in the student register Oodi. Therefore, it is important to hand in all documents well in advance before you complete your Master's degree since we cannot guarantee that documents handed in late can be considered in time for the following Graduation Ceremony.
