Annual registration, re-matriculation and renouncing your right to study

All doctoral students have to register annually. Registering as present or absent has to be done no later than 31 august. If 31 august is on a weekend or a holiday, the deadline is the next working day.

If you would like to get supervision, take part in an exam or attend a course or if you are going to apply for your diploma after 1 August, which is the official starting date of the new semester, you must register as present before that. The spring semester starts on 1 January and those who want to get supervision, attend courses or apply for a diploma after that date are to register as present for the spring semester. Registering for the spring semester has to be made by 15.1. If 15 January is on a weekend or a holiday, the deadline is the next working day.

Please note that you should register as present also when studying abroad during the semester. Students who register as absent have neither the right to take part in courses and examinations nor the right to supervision.

The registration form has to be signed and can therefore not be submitted electronically but has to be sent or handed in to ServicePoint in Helsinki or to the Office of Study Affairs in Vaasa.

Students, who do not register by the deadline, are dropped from the student register. Please also note that the right to use Hanken's computer systems, including e-mail, is withdrawn.

Please note that doctoral students shall keep their contact information (address and telephone number) up to date through WebOodi. Log in to WebOodi with the same user id as to the Hanken network and e-mail.

Registering as present

Every doctoral student who wishes to register as present shall before the yearly registration have a development discussion. The student is responsible for making an appointment with the supervisor/s well in advance. Please note that students who wish to register as present are to fill in the study plan prior to the meeting with the degree supervisor (and thesis supervisor/s).

The development discussion is carried out with the degree supervisor and when possible also with the thesis supervisor/s. The participation by the thesis supervisor/s is especially relevant when the main emphasis is on the thesis project. It is therefore desirable that both the degree and thesis supervisor/s take part in the discussion when possible.

During the meeting the following is to be discussed: how the goals set for the previous academic year have been achieved and the goals set for the next academic year. This includes information on courses, the thesis project, conference presentations, progress of other papers and publications. Furthermore, the supervisor/s and the student are to agree on rules on how to work together for the next 12 months. The discussion is based on the study plan (the registration form is to be used for this purpose). Lastly both the supervisor/s and the student sign the form.

In order to register as present the doctoral student submits the duly signed registration form and study plan (together with a research proposal, if requested by the supervisor) to the ServicePoint in Helsinki or the Office of Study Affairs in Vaasa. In case the membership fee for the student union has been paid, the receipt of the payment should be enclosed.

Membership in the student union of Hanken is not mandatory for doctoral students. Doctoral students may, however, join the student union of Hanken by paying the fee. Doctoral students are not entitled to the same benefits as are master students. For example, doctoral students are not entitled to the health services provided by The Finnish Student Health Service (FSHS). The fee (health care fee excluded) for the membership of the Student union is for the academic year 2013-2014 63 euro for the whole academic year and 31,50 euro for one semester. Please, remember to write in the message part: your name, membership fee, doctoral student. Please note! The archive code has to be visible on the receipt in order to prove that the fee has been paid. For more information, please contact the Student Union. Remember to attach the receipt of the payment to the registration form.

Registering as absent

You can register as absent by filling in the registration form. Please also let us also know the reason (voluntary) for your registration as absent (for example parental leave, full time work etc.).

Late registration - application for re-matriculation

Students, who do not register by the deadline, are dropped from the student register and the right to use Hanken's computer systems is also withdrawn. If this happens and you wish to re-activate your student status, you must submit a separate application for re-matriculation, pay a re-matriculation fee (35 euro) to Hanken and in addition hand in a registration form and a study plan that is signed by your degree supervisor to the ServicePoint in Helsinki or to the Office of Study Affairs in Vaasa.

Please, note that you application for re-matriculation has to be complete, and all necessary documents enclosed in order for the application to be processed. The processing time is 1-2 weeks.

The fee 35 e for the re-matriculation application is paid to Svenska handelshögskolan, the payment details are found in the application form for re-matriculation.

When your application has been handled, you will be notified of the decision by e-mail or phone.

Renouncing your right to study

If you do not intend to resume your doctoral studies you are kindly asked to hand in the form Termination of Right to Study [pdf] 36k. The form is returned to the ServicePoint in Helsinki or the Office of Study Affairs in Vaasa.
